Order Management Officer & Intra-logistics Analyst

PURPOSE OF THE JOB:
The Order Management Officer & Intra-logistics Analyst is responsible for managing the end-to-end order-to-cash process for customer projects and recurrent orders, ensuring the accurate and efficient execution of commercial customer contracts. The role drives continuous improvement and automation of intra-logistics processes for banknote processing machines and spare parts by enhancing end-to-end process transparency, identifying optimization opportunities, and implementing data-driven initiatives to improve operational efficiency, service levels, and inventory accuracy. Working closely with Sales, Finance, Project Management, Supply Chain, and the Service Department, the incumbent supports the successful delivery of C-Segment projects and recurrent orders while contributing to operational excellence and customer satisfaction.
ROLES & RESPONSIBILITIES:
Order Management
- Close cooperation and alignment with interface departments (Project Management, Finance, Logistics, Service) during project execution, including coordination of handover from Bid- and Contract Management
- Responsible for accurate execution of commercial terms of customer contracts (bank guarantees, Letters of Credit, INCOTERMS, Export Control Issues, payment terms, insurance)
- Assist and attend to customer demands and requirements through verbal and written correspondence
- Monitor availability of customer demands with the supply chain team
- Deliver regular input to Risk Management; support updates of ongoing risk analysis
- Accurate invoicing and follow-up of project outstanding payments
- Support and monitor customer outstanding payments and follow up regularly (monthly statements of account, follow-up emails, phone calls to customer Finance departments); escalate promptly to Account Manager when required
- Monitor customer credit limits
- Communicate and report timely on order/project delivery status to the Head of Order Management MEA; escalate any impact to supply chain or project delivery affecting execution and revenues
- Regularly update Salesforce with accuracy for smooth month-end closing reporting of revenues and order income
- Accurate booking of free-of-cost material related to customer projects in SAP during execution and warranty phases
- Manage order management of C-Segment orders/projects
- Manage accounts receivables for commercial/central bank customers (MEA)
- Intra-logistics & Process Intelligence
- Responsibility for the implementation and use of process intelligence (especially Celonis) to visualize and analyze end-to-end processes and identify process inefficiencies
- Derivation, implementation, and measurement of concrete measures for performance improvement using process mining and other modern technologies
- Close cooperation and coordination with regional SCM functions (including operational purchasing, S&OP, inventory management, logistics)
- Setup, further development, and automation of dashboards and reports (e.g., Power BI, SAP Analytics Cloud, Celonis)
ACADEMIC QUALIFICATION:
- Matric / Grade 12 (Essential)
- Bachelor's degree in Business Administration, Economics, Supply Chain Management, Industrial Engineering, Data Science, or a related field.
- A postgraduate qualification in Economics, Supply Chain Management, Industrial Engineering, Data Science, or a related discipline will be advantageous.
EXPERIENCE & BASIC REQUIREMENTS:
- 3 to 5 years of experience in sales support, sales administration, or order processing, preferably in the Middle East and/or Africa region
- Experience working with SAP (modules OTC, PLTP, FI; ideally including SAP SCM Consulting Solutions)
- Knowledge of data analysis and BI tools (e.g., Power BI, SAP Analytics Cloud, Celonis)
- Good understanding of AI and analytics methods
- Proficient use of Microsoft Office (Excel, PowerPoint), MS Teams, etc.
- Proficient knowledge of Salesforce
- Excellent communication and presentation skills
- Strong analytical understanding of processes with the ability to clearly structure complex relationships and communicate them in a target-audience-appropriate manner
