Internship/Position Summary:
The Spare Parts Intern supports the inventory by accurately entering, updating, and organizing spare parts data into eMain. This role focuses on maintaining accurate records of spare parts, ensuring proper documentation, and assisting with inventory tracking to support efficient maintenance operations. Implementing Visual Management, Reorder Points, identifying Critical parts, etc.
Duties & Responsibilities:
- Enter and update spare parts information into eMaint system.
- Record details such as part numbers, descriptions, quantities, suppliers, and locations on a standard way.
- Verify the accuracy of spare parts data.
- Assist with organizing and labeling spare parts in the storage cabinets and Maintenace Shop.
- Relocated Inventory depending of the frequency use
- Implement a visual managment
- Perform a physical inventory counts and reconcile discrepancies.
- Maintain digital and physical documentation related to spare parts.
- Follow company procedures for inventory control and data management.
Requirements Qualifications and Skills:
- Working towards a Bachelors degree in Mechanical Engineering, Industrial Engineering, or a related field
- Basic knowledge of inventory management concepts is a plus.
- Proficiency in Microsoft Excel and inventory management software.
- Strong attention to detail and data accuracy.
- Good organizational and communication skills.

First 30 Days – Assessment & Inventory Accuracy (Foundation Phase)
Goal: Understand the current system, clean data, and establish an accurate inventory baseline.
Key Actions
Inventory Assessment
- Review the current spare parts inventory list and storage layout.
- Identify missing information (part numbers, descriptions, locations, suppliers).
Physical Inventory Count
- Perform a complete physical count of all spare parts.
- Compare physical quantities with system records.
Discrepancy Reconciliation
- Identify discrepancies between eMaint system data and physical counts.
- Investigate posibles causes (misplacement, incorrect entries, obsolete parts).
Data Standardization
- Standardize naming conventions, part numbers, and descriptions.
- Ensure each part has a unique identifier.
Basic Organization
- Group similar parts together (electrical, mechanical, pneumatic,or by processes)
- Clean and organize storage areas.
Deliverables
- Clean and verified inventory database
- Initial discrepancy report
- Organized spare parts storage areas
Days 31–60 Inventory Control & Visual Management (Stabilization Phase)
Goal: Implement control mechanisms and improve visibility of spare parts.
Key Actions
Min/Max Inventory Control
- Define Minimum and Maximum levels for each part based on:
- Historical usage
- Lead time
- Criticality
- Implement reorder points.
Critical Spare Parts Identification
- Define critical parts based on:
- Impact on production downtime
- Long supplier lead times
- Equipment safety requirements
- Cost
- Tag critical parts into eMaint system.
Visual Management Implementation
- Label all storage locations clearly.
- Part number
- Description
- Min/Max quantity
- Use color coding for part categories.
Inventory Location Mapping
- Create a storage location map for quick identification.
- Assign a unique location code for each part into eMaint
Cycle Counting Plan
- Implement periodic cycle counting for high-value and critical items.
Deliverables
- Min/Max inventory control system
- Critical spare parts list
- Fully labeled and visually organized storage area
- Location coding system
Days 61–90 – Optimization & Storage Layout (Improvement Phase)
Goal: Improve efficiency, accessibility, and long-term sustainability of the system.
Key Actions
Relocation Based on Frequency of Use
- Analyze usage history.
- Classify parts using ABC or frequency analysis:
- High-use parts → easy access locations
- Medium-use parts → mid storage
- Low-use parts → upper or remote storage
Storage Layout Optimization
- Redesign layout to reduce search time.
- Place critical and high-use parts near maintenance areas.
Inventory System Integration
- Ensure all transactions are recorded:
Standard Operating Procedures (SOPs)
- Create procedures for:
- Inventory entry
- Part issuing
- Reordering
- Cycle counting
Training
- Train maintenance technicians on the new Inventory system.
Performance Monitoring
- Define KPIs such as:
- Inventory accuracy
- Stockout frequency
- Inventory turnover
Deliverables
- Optimized spare parts storage layout
- Frequency-based storage system
- Inventory SOP documentation
- Trained Maintrenance staff
Expected Outcomes After 90 Days
- Accurate spare parts inventory records

The pay for this position is $20.00/hour. This position is considered temporary and is not eligible for company provided benefits.
