Supply Chain Coordinator

PURPOSE OF THE JOB: We are seeking a detail-oriented and proactive Supply Chain Coordinator to join our Supply Chain Management team. This role plays a crucial part in ensuring the seamless operation of supply chain logistics, from coordinating shipments and managing delivery plans to liaising with production and collaborating with internal departments and external partners.

The key responsibilities of the position are as follows, but not limited to:

Shipment Coordination:

• Negotiate with local and international freight forwarders to secure competitive freight costs (Air, Sea, Road).
• Coordinate shipments from collection to delivery points, adhering to South African Customs laws, regulations, and standards.
• Arrange collections, dispatch shipments, and track progress to provide accurate ETA updates to stakeholders.
• Utilise 3PL and 4PL options and oversee cross-trade operations.
• Optimise logistics processes to reduce costs and improve efficiency.
• Ensure timely and accurate delivery of goods.

Operations Support:

• Work closely with production and operations teams to monitor workflow and address issues promptly to avoid disruptions.
• Provide regular shipment status updates to stakeholders and implement long-term improvements with contingencies to keep raw materials in place for production.

Documentation and Compliance:

• Prepare accurate import/export documents and obtain inspection certificates before shipment departures.
• Apply and advise on the correct INCOTERMS® 2020 during international transactions and shipping.
• Draft freight forwarder SOPs and assist with compliance management.
• Create purchase requisitions and orders for logistics-related expenses.
• Accurately process goods received vouchers and submit document packs to Finance for processing.
• Maintain accurate records and documentation.

Reporting:

• Share daily updates on shipment progress and compile monthly reports on freight savings and costs.
• Monitor and report ESG carbon emission impact to the Supply Chain Leader.

Risk Management:

• Identify potential risks and disruptions in the supply chain.
• Assist in implementing contingency plans to mitigate risks.

Relationship Management:

• Communicate with internal departments regarding orders and shipment updates.
• Resolve customer issues related to logistics and supply chain.
• Maintain partnerships with new and existing globally approved freight forwarders.
• Track key performance indicators (KPIs) for 3PL partners.

MINIMUM ACADEMIC QUALIFICATIONS: 

• Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or a related field.
• Relevant certifications (e.g., APICS/SAPICS, CIPS) are a plus.

PROFESSIONAL EXPERIENCE: 

• 2 to 4 years proven work experience in warehouse, logistics, procurement, or supply chain management.
• Demonstrated experience coordinating local and international shipments, including customs clearance and freight forwarding.
• Proven ability to manage import/export documentation in compliance with South African Customs regulations and INCOTERMS® 2020.
• Experience working with 3PL/4PL providers and managing freight forwarder KPIs.
• Exposure to SAP or similar ERP systems for purchase requisitions and goods received vouchers.
