Job Summary:

As a Client Service Associate, you will serve as the central point of contact for key clients, ensuring a seamless and responsive experience across the order lifecycle—from order intake to delivery and invoicing. This role partners closely with internal departments, suppliers, and external logistics providers to ensure on-time, accurate fulfillment of client needs. Your ability to prioritize, communicate clearly, and manage multiple timelines will directly impact client satisfaction and operational success.

 

Duties and Responsibilities:

      • Serve as the first-line liaison between clients and internal teams, providing responsive, solution-oriented support.
      • Process and confirm client sales orders, ensuring workability, materials availability, schedule alignment, and compliance with pricing agreements and contracts.
      • Collaborate with planning and scheduling teams across manufacturing sites to establish and monitor production and delivery timelines.
      • Help clients manage inventory by providing timely inventory and order status reports, monitoring issuance requirements, and identifying gaps between forecasts and actual orders.
      • Maintain clear, proactive communication with clients through scheduled updates, calls, and CRM dashboard management to track all work-in-progress (WIP) items.
      • Work with clients on card designs and approvals, coordinating with subject matter experts and payment scheme entities as needed.
      • Coordinate client visits for press validations and plant tours, ensuring relevant departments are engaged and client expectations are met.
      • Partner with the Demand Analyst to align production and material needs with client forecasts and internal capacity.
      • Coordinate with freight companies, brokers, and internal shipping teams to ensure timely and accurate deliveries.
      • Assist with invoice preparation and month-end financial reconciliation; validate client purchase orders against contracts and quotes.
      • Manage submission and tracking of orders through our Load Balancing Application (LBA) across multiple production sites, including issue resolution and claims handling.

 

Secondary Responsibilities:

      • Provide second-level support and backup to other client service team members.
      • Assist in onboarding and training new team members.
      • Participate in team projects to improve operational efficiency.
      • Ensure full compliance with all company policies and procedures.

 

Qualifications and Skills:

      • High School Diploma or GED required; Bachelor’s degree preferred.
      • Minimum of 2 years’ experience in client service and order management, preferably in manufacturing, printing, or a financial services environment.
      • Strong organizational, planning, and multitasking abilities with a keen attention to detail.
      • Excellent written and verbal communication skills in English.
      • Collaborative team player with a proactive and respectful approach to internal and external relationships.
      • Proficient in Microsoft Office applications.
      • Familiarity with ERP systems for order processing, inventory tracking, and materials planning; SAP experience preferred.
