Supervisor, Mailing & Fulfillment

Job Summary:


Reporting directly to the  Manager, Mailing & Fulfilment Services, this position is responsible for: ensuring the quality delivery of products and services of the mailing & fulfilment department in a timely and cost efficient manner;  provides effective day to day leadership and direction to direct and  indirect reports ; ensures  strict adherence to SOP procedures , H&S / Security regulations; manages departmental performance measurements  (KPI’s )and provides regular progress reports and recommendations / suggestions for improvements; conducts and performs incident / NCR / and privacy related investigations. 


Responsibilities:


•    Manage and leads a diverse  hourly production (3x5) workforce and weekends, as required
•    Represents and provides daily production updates as scheduled  
•    Enforces / Maintain quality assurance standards and provide proper level of oversight /  adherence of all work instruction and procedures
•    Respond / Investiagtes  client complaints i.e.  (NCR’s)  in timely manner
•    Review order exception reports (Non Conformance Reports – NCR’s) to identify root cause and recommends corrective actions
•    Administers and maintains departmental administration tasks; i.e. vacation planning,  reporting, test processing, discrepancy checklist, etc
•    Coordinate and plans required communication meeting with  production staff
•    Assits in the recruitment , development and retention of high performing individuals and build a positive work environment
•    Monitors team performance on an ongoing basis, provides semi annual and  yearly Performance Appraisal (PA’s) Reviews.   
•    Reviews all indirect reports PA’s and discusses / and align on results with Lead hands and direct Manager
•    Provides mentoring ,coaching,  constructive feedback and or progressive discipline where warranted
•    Responsible for promoting adherence to all Security, ISO and Health and Safety programs, processes and procedures
•    Maintains established metrics to ensure levels of performance are known and improved upon
•    Act as a backup in Managers absence
•    Ensures housekeeping is tour ready at all times  
•    Champions continuous improvements projects / iniatiavies as assigned 
•    Continually looks for ways to improve internal/external customer experiences and satisfaction
•    Ensure employees are provided with job specific Environmental, Health & Safety information, training and also ensure employees follow workplace Health & Safety policies and procedures. 
•    Building strong teams through hiring, developing, evaluating, training, coaching and succession planning with support from manager.


Qualifications, Experience and Educational Requirements:


•    Minimum 5 years’ supervision / management experience in a fast paced service related production environment 
•    Minimum 2- 3 years experience with a mid to large size automated mailing fulifimrnt environment  
•    Strong communication skills and ability to build direct relationships with both hourly and salaried  associates
•    Proven ability to manage, lead and motivate a diverse workforce
•    Excellent organizational skills with a high degree of initiative and flexibility 
•    Proven experience in holding employees accountable for working safely, and providing a safe work environment
•    Strong computer skills (MS Excel, MS Word, Outlook)
•    Working knowledge of SAP is an assest 
•    Excellent interpersonal skills to deal with various levels in the organization 

•    Proven competency with intelligent insertion , multi personalized piece matching , camera recording system ( ie JetVision), weigh scales,  off line sealing systems etc 
•    Ability to lead by example in a fast paced, constantly changing work environment
•    Positive and professional attitude with a hands-on and team oriented work style
•    Excellent communication skills, both verbal and written 
•    Self-motivated with high level of drive, energy, persistence and initiative and business acumen
•    A strong team player able to support and work collaboratively with individuals from other functional areas within the company 
•    Exhibits sound judgment and is able to maintain a high degree confidentiality
•    Quality oriented and attention to detail
•    Exceptional change management skills 
•    Strong facilitator and able to deal effectively with conflict (Conflict management) 

•    Post-Secondary education or equivalent work experience

•    Clean, security focussed working environment
•    Faced paced 5 x 24 shift work environment
•    Companay supplied smock required on the production floor ( mandatory security requirement)
•    Casual attitude regarding H&S and Security not tolerated
