Summary of Essential Functions:

  • As an intermediate level in the position of back- office Logistics Administrator, this individual must be team oriented and flexible, and actively seek to share information and assist his peers. Possesses solid communication skills, both oral and written.  Demonstrates strong logistics background, shipping, Inventory and warehousing worked in long term on SAP(ERP) system.  Willingness to work on various activities with high visibility, as assigned.  Looks for common-mode problem occurrences and seeks to resolve, both independently and with the aid of others. Has a working knowledge of PC applications (MS Word, Excel & Power Point, outlook) to provide clear, concise information and summaries as needed, in more advanced Excel knowledge for supporting stock audits/customs. 
  • Provides comprehensive stock control, movement of parts and machineries with utmost accuracy for proper computation, controlling of Inventory. Setting up of classification of parts Inventory with knowledge of A, B, C, D and Min/Max levels in SAP system for keeping optimal stock of parts for customer requirements.  Provides various back-up support activities as required, which may include but are not limited to, compilation of data, data entry tasks, publication of reports, stock review, import and export shipments etc.  Comprehensively documents within SAP the details of movements such that his peers may review the file and continue the support effort with additional time if needed and continued dialog be required to suffice the requirement.

 

Specific Duties, Activities and REsponsibilities Include but are not LImited to:

  • Responsible for handling Stock accounting and maintaining inventory in SAP with MRP keeping not under stock/ over stock of parts in warehouse.
  • Accounting outgoing and incoming stock, in coordination with internal and external controlling colleagues/ Audit reconciling including UAE customs.
  • Supporting for commercial transactions of spares, machines and consumables supplied to customers from warehouse.
  • Accountable for all deliveries as requested by Sales department to meet customer demands.
  • Responsible for Asset management in SAP and keeping the record of Demo machines for timely show cases in MEA region.
  • Maintaining Customs ATMS SW Package (Entering the details of Incoming and Outgoing shipments) for the requirement of timely customs verification / audits.
  • Co-ordinate with Engineers for issuing parts based on their request for repair/testing keeping records of stock movements, assist colleagues for retrofitting requirements.
  • Compiling Freight Quotations from various Logistics forwarders for Machines & Spare Part Shipment to customers in line with the requirement of sales/project
  • Handling shipments with LSP/CEP for outgoing / incoming Machines & Spare parts with minimal cost, maximum efficiency, speed and holistic view of shipments from warehouse locally and cross company deliveries.
  • Responsible for Inventory reporting as and when required, responsible for any missing quantities.
  • Exercises every available measure to control and minimize Logistics and Inventory costs.
  • Upkeeping of warehouse and optimize the space utilization in warehouse coordinating with other why colleagues, right placement of machines as per location.
  • Assist order management / sales colleagues for quotation, comparison of rates of shipment locally and cross company deliveries.
  • Assist for pick and pack for the deliveries, ensuring the shipment are in good condition before shipping.
  • Maintain stocking of packing materials and responsible for all activities in warehouse not limited to any.
  • Possesses a solid level of parts knowledge on the company’s products.  Has the skill and flexibility to be able to switch from one product to another as needed
  • Seeks to lead and coach colleagues for any issues and help to resolve them.
  • Maintains clear and concise business communication proficiency, both oral and written

 

Position Requirements:

  • Education/Training:Bachelor’s Degree or more than 7 years of related experience is required.  Equivalence achieved through comparative work and life experience is acceptable.  Computer literacy, competency in use of all programs within MS Office Suite and aptitude for learning specialized software programs. Experience on Advanced Excel and SAP(ERP) module is essential to carry out this position.
  • Experience: Minimum 7 years experience directly involved in logistics, Inventory, warehousing, shipment handling with incoterm, freight quote comparison from different LSP for cost effective mode of transportation with various LSP    
  • Knowledge/Skills: Individuals should possess good communications skills and have a strong orientation for customer focus and teamwork.  Must always be responsive to all customer issues.   
  • Supervises: While supervision is not considered a primary responsibility of this position, there may be instances where supervision of others may be required

 

Physical/Other Requirements:

  • Possess excellent organizational, communication, interpersonal skills with the ability to multitask several tasks at once.
  • Excellent customer service skills and the ability to handle stressful situations.
  • Self-motivated, reliable, and accountable individual
  • Holding valid UAE Driving License is mandatory
  • Experience on Free zone customs for handling shipment is mandatory.
  • UAE Customs Audit experience is plus.

 

Work Environment:
Work environment is typically considered a back-office environment located on-site, within location during normal or extended business hours.  Work environment may also include employee’s residence or other location when on-call during off hours when required.  Occasional Travelling within UAE is required to support customs, Import/export logistic activities.
