Service Bureau Mailing and Shipping Lead

Job Summary:  The Mailing and Shipping Lead provides a valuable link between Service Bureau Clerks, Warehouse, Customer Service, and Service Bureau Management to ensure service level agreements are properly met, purges and redirects are executed, work is mailed and shipped on time, return mail is processed, and finished jobs are closed.  The Lead oversees the activities of the work group during a typical shift starting with an update from the First Shift Lead, through completion of a Shift Summary and hand-off to the Second Shift Lead.  The Lead will assign Clerks to work areas, ensure training plans are followed, and support clerks in the completion of their work.  The Lead processes job paperwork, follows and updates the schedule, and escalates issues affecting the shipping schedule for appropriate action.  The Lead will ensure all clerks are properly completing their documents and transactions, and will create a Shift Summary report at the end of each shift.


Job Duties:

  • Supports Clerks in problem solving as a subject matter expert in Mailing and Shipping processes within the Service Bureau.
  • Posts job transactions daily for work completed within their shift.
  • Tracks job orders to ensure completion within the Service Level Agreement
  • Securely receives and processes return mail under dual control.
  • Leads shift communication meetings daily
  • Oversees shift operation to ensure the safety and productivity of all employees assigned to the designated shift
  • Provide accurate reporting, escalate issues and follow-up on resolution
  • Ensure Production Orders are properly signed and tracked through the systems
  • Perform audits to ensure compliance with verifications, ShopTrak transactions, quality checks
  • Ensure proper health and safety procedures are adhered to by all staff
  • Ensure departmental procedures and guidelines are properly disseminated to all staff
  • Works with logistics team to request material components required for the daily production schedule 
  • Train new employees and coach existing employees providing retraining as needed
  • Maintain strong rapport among all other departments within the organization
  • Assist with training employees on process improvements and achieving KPI expectations
  • Enter Mailing and Shipping data into KPI systems and publish a Shift Summary daily
  • Perform related duties as assigned or as the situation dictates.

  • Properly trains staff for each assigned task.
  • Participates in incident investigations and helps determine corrective actions.
  • General maintenance and shift performance.


Job Specifications:

  • Shift hours of 11:30AM-8:00PM
  • Exposure to shop noise
  • Required to lift up to 40 lbs
  • Physically able to bend, lift, and stand over long periods of time
  • Flexibility on schedule (must be able to work overtime and on weekends on an as needed basis)
  • Ability to look at and monitor with charts/graphs and figures for extended periods of time
  • Must adhere to PCI standards



  • Strong attention to detail and organizational skills are required
  • Experience in a fast paced shipping and mailing environment required
  • Minimum one year experience in a prior leadership role
  • High School Diploma or equivalent required, associate degree or certificate in supervisory training strongly preferred
  • Prior experience working with a team on attainment of goals
  • Understanding of quality processes and procedures
  • Above average computer skills with an emphasis on Microsoft Office applications
  • Understanding of general safety requirements
  • Experience using ShopTrak and Syteline preferred
