Job Summary: 

 

This is a Hybrid role responsible to provide administrative support to two Vice-Presidents and to director level staff.  Performs Office Manger duties for Atlanta and San Jose offices.  Will work with other administrative personnel in supporting the management team. Must be a team player, detail-oriented, able to multi-task and work well under tight deadlines. Ability to take charge and determine priorities is a must.

 

Qualifications: 

 

Education and Experience

 

  • A High School diploma and 3 years of administrative experience
  • Must have experience supporting senior staff in a fast-paced and demanding work environment

 

Knowledge Skills and Abilities

 

  • Demonstrated professionalism, discretion and experience working with and protecting highly confidential information
  • Proficiency in full Microsoft Office Suite
  • Demonstrated ability to multi-task, respond to needs quickly and efficiently and prioritize work with a strong attention to detail
  • Ability to effectively communicate and collaborate with a diverse range of people and job functions
  • Exercise excellent judgment in setting priorities and interacting with internal and external contacts
  • Ability to work well under pressure and respond to tight deadlines
  • Excellent verbal and written communication skills
  • Strong focus on customer service, team player mentality and ability to work collaboratively with others
  • Excellent knowledge of administrative procedures and ability to operate office equipment

 

Essential Functions:

 

  • Administrative support to two Vice-Presidents and limited support to other staff
  • Scheduling/Calendar Management
  • manage any conflicts and send reminders to staff on tasks/meetings where there are deadlines/to-dos
  • Setup reminders on key deliverables and monitor deadlines
  • Makes or manages travel arrangements (airline and hotel reservations) and processes expense reports for two for Vice-Presidents and several other staff
  • Expense report screening for staff reporting to the Vice-Presidents before Vice-President approves
  • Establishes and maintains effective and cooperative professional business relationships with all levels of management, employees and outside clients
  • Ensures that all other clerical duties such as file maintenance, faxing, etc. reports are completed
  • Coordinates conference/meeting room set-up, ordering catering and making logistical arrangements.
  • Perform Office Manager duties for the Atlanta office, including but not limited to assisting with Social Committee and Office Events, receptionist duties, stocking office supplies and beverages, mail management and watering plants
  • Perform Office Manager duties for the San Jose that can be performed remotely such as, but not limited to correspondence, stocking office supplies, assisting with Social Committee and Office Events.
  • Provides backup assistance to other administrative support team members as needed
  • As needed, answers telephone and provides information or routes calls appropriately
  • Provides backup support to Sr. Executive Assistant on United Airlines Amenities program, Wells Fargo Corporate Card program and other duties
  • Other duties and projects as assigned
